Privacy Policy

America's Tax Doctor (ATD, we, us) provides tax preparation, accounting, and a client portal. This policy explains how we handle information through our website, accounts, intake forms, and related services.
Information we collect
We collect information you provide when creating an account, requesting services, completing intake, uploading documents, signing records, or communicating with our team. This may include your name, contact details, address, household and dependent information, taxpayer identifiers, identification documents, income, expenses, tax returns, and bank details needed for the services you request.
We also process account and session identifiers, IP addresses, browser information, and activity and security records needed to operate the service and investigate errors or unauthorized access.
Google sign-in and connected services
If you choose Google sign-in, Google provides your account identifier, name, email address, verification status, and profile image when available. We store account and authentication information to create or identify your ATD account and maintain your sign-in session. Google sign-in does not give ATD access to your Gmail or Google Drive.
Separately, authorized staff may connect Google Drive to import client records or use connected spreadsheet features. Those features request their own permissions and process file metadata, selected document contents, and spreadsheet data for the requested work. Connection credentials are stored to maintain authorized access.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We do not sell Google user data or use it for advertising, credit decisions, or training general-purpose AI models. You can revoke ATD access in your Google Account's third-party connections settings. Revoking access stops future authorized access but does not automatically delete records already received; contact us to request deletion.
How we use information
We use information to provide requested services, prepare and review returns, organize documents, manage signatures and filing updates, communicate with you, administer accounts, prevent abuse, and meet legal and recordkeeping obligations. Authorized staff may review records as needed for their assigned work.
Document import and processing may use Google Cloud Document AI and Vertex AI to read, classify, and extract information from records. These services may receive document contents, including personal and financial information, for that processing. Automated extraction supports staff review and can contain errors.
When information is shared
Information may be shared with your assigned Tax Doctor, authorized ATD staff, and providers supporting hosting, databases, document storage, email, intake forms, tax preparation, filing, and requested financial services. Current providers include Vercel, Neon, Cloudflare, Resend, Jotform, Google Cloud, and TaxSlayer, depending on the feature used. Information may also be disclosed when legally required or necessary to address fraud or security incidents.
Tax return information is subject to additional confidentiality rules. Where separate taxpayer consent is required for a use or disclosure, that consent must be obtained separately. This policy does not replace that consent or authorize unrelated uses of your tax information.
Cookies and security
We use cookies and browser storage for authentication, security, and preferences. Blocking cookies may prevent sign-in or account features from working. We use HTTPS, access controls, and encryption for protected fields and connection credentials. No online service can guarantee absolute security. Do not send Social Security numbers or bank details by ordinary email; use the secure intake or document tools provided for your account.
Storage and retention
Information is stored in our service providers' systems and may be processed where those providers operate. We retain records for the services you request, applicable tax and business recordkeeping requirements, security, and the resolution of disputes. Retention depends on the type of record and applicable obligations; deleting an account may not permit deletion of every tax or audit record.
Your choices and requests
You can review available information in your account and request access, correction, or deletion by contacting us. Depending on your location, additional privacy rights may apply. We may verify your identity before handling a request and explain any legal reason we must retain information. You can choose email-and-password sign-in instead of Google and revoke connected Google permissions at any time.
Our account services are intended for adults. Dependent information about children may be supplied by a parent, guardian, or authorized taxpayer for tax preparation. Contact us if a child has independently provided account information.
Changes and contact
We will update this page and its effective date when our practices change. For material changes requiring notice or consent, we will provide the applicable notice or request consent before the new use.
For privacy questions or requests, email support@americastaxdr.com. Include your request and an account contact address, but do not include sensitive tax documents or financial identifiers in the email.
